Condition Reports

Photograph the gate before you open it

A check-in walkaround before the machines move and a check-out walkaround when they leave — photos, damage notes, and the customer's signature captured on the crew's own phone, right there on the tract. The argument you don't have is the one that pays for itself.

The problem

The ruts were there when you got there

Three weeks after the job, a call: the gate is bent, the culvert is crushed, there are ruts by the barn. Maybe it was you. Maybe it was the well driller. You have no photographs and no signature, so it doesn't matter who was right — you're paying for it or you're losing the customer.

Without Mastiff

  • Damage claims weeks later with nothing to check them against
  • Photos on a crew phone that left with the crew member
  • "That fence was already down" with no way to prove it
  • A landowner who wasn't there when the machines arrived
  • Deposits held back over damage nobody documented either way

With Mastiff

  • A photographed record of the site before your tracks touch it
  • The customer's signature captured on the crew's phone, on site
  • Check-out photos from the same walk, showing how it was left
  • Everything filed to the job instead of a camera roll
  • A signed report to send with the final invoice
  • A record that works the same for a sub as for your own crew

How it works

From setup to done.

01

Walk it before you unload

Open the crew link and start the check-in walkaround. Photograph the gate, the fence line, the culvert, the approach — anything a machine could be blamed for later.

02

Note what's already wrong

Damage notes ride with the photos. The bent gate you found is documented as found, before anybody suggests you found it with a trailer.

03

Get it signed on the spot

The landowner signs on the same phone the crew is holding. No email round-trip, no portal login — a signature at the gate while you're both standing at it.

04

Walk it again on the way out

The check-out walkaround does the same in reverse and closes the loop. Two signed walks bracket everything that happened on the property.

Capabilities

Everything in the box.

  • Photographed, not described

Photos are the record. A walkaround carries as many as the site needs, and they file to the job rather than living on whichever phone happened to be there.

  • Signed on the crew's phone

The customer signs on the same device at check-in, which is why the flow lives on the crew link and not behind a customer login. Signed reports are terminal — they don't get quietly edited afterwards.

  • Check-in and check-out

Two walks, before and after, each with its own photos and signature. Between them is a documented account of the condition your crew took on and the condition they left.

  • Filed to the job

Reports live on the job record with the quote, the takeoff, and the time entries — so three weeks later the whole story is in one place instead of four phones.

  • Works out of range

The walkaround runs on the same offline-capable crew link as everything else. A property with no bars is exactly where you most want the photographs.

  • Proof for the invoice

Send the signed report with the final bill. A documented before-and-after settles most disputes before they start and makes the deposit conversation short.

FAQ

Common questions.

Who signs the condition report?

The customer or whoever's meeting your crew at the gate, on the crew's own phone at check-in. That's why it lives on the work link rather than behind a customer login — the signature happens on the tract, with both people standing there.

What if the landowner isn't on site?

Do the walkaround anyway. The photographs and the timestamp are the bulk of the value; the signature strengthens it. An unsigned report with dated photos is still far better than a memory.

Does it work without cell service?

Yes. Condition reports run on the same offline-capable crew link as the timer and the checklist, so the photos and notes are captured on the phone and sync when signal returns.

Can I use this to settle a damage claim?

That's what it's for. A dated, photographed, signed record of the site before your machines arrived — and another of how you left it — is the difference between arguing about a bent gate and pointing at it.

Document the site before you work it

Two walkarounds and a signature at the gate — the cheapest insurance in this trade, taken on the phone your crew already has.
